What’s in this student attendance sheet
It’s a monthly class register: one row per student, in roll-number order, and one column for each day of the month. Teachers in schools, colleges, coaching centres and madrasas use the same layout, whether they keep it in Excel or on paper.
- Roll no. and student name columns, for up to 300 students.
- Every day of the month with its weekday, and your weekly offs shaded.
- Class or section title printed at the top, such as “Class 5-A” or “Grade 9 Blue”.
- Automatic totals of present, late, half day, leave and absent for each student.
- Attendance percentage per student, counted over school days only.
- A printable version that fits one month on a landscape page.
How to use the class register
- Set the month, class and class size. Pick the month, your weekly off days and how many students are in the class. Add the class or section as the title.
- Download or print the register. Download the Excel file with built-in formulas, or print a landscape register to keep on the class desk.
- Write the class list. Enter each student’s name in roll-number order, one per row.
- Take attendance every school day. Mark each student P present, A absent, LT late, L leave or HD half day. Mark holidays H.
- Check attendance % at month end. In Excel each student’s attendance percentage updates as you type. Look for anyone below 75%.
At the end of the term, upload the sheets to the free attendance report generator to see every student’s attendance %, who has fallen below 75% and which weekdays have the most absences.
Student attendance % and the 75% rule
Attendance percentage is the days attended divided by the school days in the period, times 100. A late arrival counts as attended and a half day counts as half. Many schools, colleges and universities require at least 75% to sit exams.
For example, a student present on 19 of 22 school days has 86.4%. To see how many more classes a student must attend to get back to 75%, use the attendance percentage calculator.
School register or university attendance sheet?
In a school, the class teacher usually takes attendance once a day, so one register per class per month is enough. In a college or university, attendance is often taken in every lecture and the 75% rule applies per subject, so keep one sheet per course and title it with the subject.
Keeping registers for staff as well? The monthly attendance sheet template is the same register laid out for employees.
Tips for teachers keeping a register
- Take attendance at the same point every day, such as first period, so late arrivals are judged the same way.
- Mark holidays as H rather than leaving them blank. A blank should always mean “not marked yet”.
- Keep leave notes from parents with the register, so an L can be checked later.
- Look at attendance % every month, not only before exams, while there is still time to recover.
- Want this done on your phone? Clocked Live for schools gives teachers a Take Attendance screen for their own classes, and students don’t need a login.
